The 2026 Small Business Email Security Checklist: 15 Steps to Full Protection

Foundation (Do These First)

1. Scan Your Domain

2. Set Up SPF

An SPF record tells the world which servers can send email from your domain.

v=spf1 include:_spf.google.com -all

Replace the include with your email provider's SPF. Check our DIY guide for provider-specific instructions.

3. Enable DKIM

DKIM adds a digital signature to every email you send. Enable it in your email provider's admin console:

  • Google Workspace: Admin > Apps > Google Workspace > Gmail > Authenticate Email
  • Microsoft 365: Microsoft 365 Defender > Email Authentication > DKIM
  • Zoho: Admin > Email Authentication > DKIM

4. Implement DMARC

DMARC ties SPF and DKIM together and tells receivers what to do with failures:

v=DMARC1; p=none; rua=mailto:[email protected]

Start with p=none for monitoring, then upgrade to p=reject within 30 days.

5. Verify Everything Worked

Re-scan your domain after making changes. You should see green checkmarks for SPF, DKIM, and DMARC.

6. Upgrade DMARC to Enforcement

After 2-4 weeks of monitoring with p=none:

v=DMARC1; p=reject; rua=mailto:[email protected]; pct=100

7. Enable MFA on All Email Accounts

8. Train Your Team

9. Set Up Email Alerts for Suspicious Activity

Configure your email provider to alert you about:

  • Login attempts from new locations

  • Password reset attempts
  • Bulk email sending

10. Review Third-Party Access

Audit every service that sends email as your domain:

  • Marketing platforms (Mailchimp, Constant Contact)
  • CRM systems
  • Invoicing software
  • Customer support tools

Ensure each is included in your SPF record.

11. Implement MTA-STS

MTA-STS forces email to be sent over encrypted connections:

Get reports on encryption failures:

13. Enable DNSSEC

DNSSEC prevents DNS tampering. Enable it through your domain registrar or DNS provider.

14. Set Up Payment Verification Procedures

Create a written policy:

  • All wire transfers over $1,000 require phone verification
  • Banking detail changes require in-person or video confirmation
  • New vendor payments require dual authorization
